ROOMEAZE ACCOMMODATION INC., Operating As SpacesShared ("SpacesShared" or "we"), are committed to maintaining the accuracy, security and privacy of Personal Information in accordance with applicable privacy legislation. This SPACESSHARED Privacy Policy (“Policy”) is a statement of principles and guidelines concerning the protection of Personal Information of our clients, service providers and other individuals ("you"). This Policy applies to our privacy practices on all communications between SPACESHARED and you, including but not limited to communication via:

The SPACESSHARED Website (including the Website hosted at www.SpacesShared.ca and any other web domain used by SPACESSHARED to communicate with users now or in the future);
any mobile, computer, or tablet-based application currently offered by SPACESSHARED or developed in the future by SPACESSHARED; and
all other services provided by the Company, as described on the Website (Items 1 to 3 are collectively referred to as the "Website").

This Policy should be read in conjunction with any Terms of Use or policies available on the Website.

By submitting Personal Information to SPACESSHARED and agents, you consent to our collection, use and disclosure of such Personal Information as set out in this privacy Policy and as permitted or required by law. Subject to legal and contractual requirements, you may refuse or withdraw your consent to certain of the identified purposes at any time by contacting SPACESSHARED at the contact set out below. If you refuse or withdraw your consent, we may not be able to provide you or continue to provide you with certain services or information which may be of value to you. If you provide SPACESSHARED or our agents with Personal Information of another individual, you represent that you have all necessary authority and/or have obtained all necessary consents from such person to enable us to collect, use and disclose such Personal Information for the purposes set forth in this Privacy Policy.

What Personal Information do We Collect?

For the purposes of this Policy, “Personal Information” means information about an identifiable individual as defined from time to time in applicable privacy legislation. For the purposes of this Policy, Personal Information does not include what is considered business contact information (i.e. your name, title or position, business address, telephone number, or e-mail address). Examples of Personal Information that SPACESSHARED may collect about you includes:

your name, email, address, phone and other contact information
information about your career and professional background such as your education, work history, languages, skills, achievements and personal qualities
documents and media uploaded by you including applications
if applicable, your self-declaration as a member of a diversity group
your preferences and settings your name, email address, gender, postsecondary institution you are attending, area of study, dietary restrictions, allergies, personality attributes, housing preferences and Experience & Interests incidental to providing services.

Why do We Collect Your Personal Information?

In general, SPACESSHARED collects, uses and discloses Personal Information about our clients and service providers in order to match you to housing opportunities and guests, and to notify you and provide information to you about opportunities that might be appropriate for and interesting to you, based on the preferences that you have indicated within your SPACESSHARED application. More specifically, we collect, use and disclose your Personal Information for the following purposes:

to establish and manage client relationships, perform services, fulfill legal duties, and avoid conflicts of interest. This may include the sharing of Personal Information by and between SPACESSHARED personnel and affiliated companies and partnerships for such purposes;
to understand and respond to client, supplier and other third-party needs and preferences, including to contact and communicate with such third-parties;
to consider whether SPACESSHARED should establish a commercial relationship with clients, suppliers and other third parties, including to evaluate credit standing and to match credit bureau or credit reporting agency information;
to establish and maintain commercial relationships with clients, suppliers and other third parties, including to issue invoices, administer accounts, collect and process payments, and to fulfill contractual obligations;
to establish, manage and terminate employment, contractual and partnership relationships;
to develop, enhance, market, sell or otherwise provide SPACESSHARED's products and services;
to distribute our Legal Update newsletters and other informational e-mail communications, conference information and other material to individuals on our mail and e-mail lists, including via third party mailing houses and e-mail service providers;
to develop and manage our knowledge-management precedent systems and databases;
to develop and manage SPACESSHARED's business and operations;
to detect and protect SPACESSHARED and other third parties against error, negligence, breach of contract, fraud, theft and other illegal activity, and to audit compliance with SPACESSHARED policies and contractual obligations;

To Whom do We Disclose Your Personal Information?

From time to time, SPACESSHARED may disclose your Personal Information to:

service providers, including an organization or individual retained by SPACESSHARED to perform functions on its behalf, such as marketing, data processing, document management and office services;
a financial institution, on a confidential basis and solely in connection with the assignment of a right to receive payment, the provision of security or other financing arrangements; or
to our insurers and to regulatory agencies such as provincial law societies, insurers or others in connection with regulatory or other activities relating to the obligations of SPACESSHARED and its practice of the profession of law;
to personnel in SPACESSHARED, government authorities, insurers, benefits providers, consultants or agents as reasonably required to establish, manage or terminate, contractual and partnership relationships; and
any third party or parties, where you consent to such disclosure or where disclosure is required or permitted by law.

Your Personal Information may be shared, stored or accessed in Canada. Your information may be disclosed in response to valid demands or requests from governments, regulators, courts and law enforcement authorities in other jurisdictions or countries.

Where do We Store Your Personal Information?

We will store your information in electronic format on industry-standard servers that we have selected. Except where required to do so by law, we will not store your Personal Information in any physical or paper-based format.

Our servers are located exclusively in Canada.

How May You Obtain Access to Your Personal Information?

Upon your written request, subject to certain exceptions, SPACESSHARED will inform you of the existence, use and disclosure of your Personal Information and will give you access to that information. Access requests should be sent to SPACESSHARED, using the contact information below.

If you wish to amend your Personal Information or to request that we permanently delete your personal information from our servers, please send an email to customersuccess@spacesshared.ca Deleting such information may require us to terminate any account you may have created in its entirety and prevent you from using the Website. We will also retain any and all information that we are required to retain under any applicable laws for the full duration of time required under those laws.

How do We Protect Your Personal Information?

To help protect the confidentiality of your Personal Information, SPACESSHARED employs administrative and technological safeguards appropriate to the sensitivity of your Personal Information. Where Personal Information is sent to a third party for processing we ensure, through our contacts with them, that all Personal Information is kept secure.

The servers we select to store information engage security software and generally accepted standards including industry standard firewall and password protection systems to protect Personal Information. The software used by these servers is intended to prevent unauthorized access or improper use.

However, no security system is perfect and there is always a risk of unauthorized parties accessing your Personal Information. Therefore, we make no guarantees or representations as to the technical or legal compliance of the servers we use. We cannot guarantee the complete protection and security of your Personal Information.

Notwithstanding anything in this Policy to the contrary, SPACESSHARED shall have the right to collect and analyze data that does not identify you and anonymized/deidentified data, and other information relating to the provision, use and performance of various aspects of the SPACESSHARED services and related systems and technologies (including, without limitation, information concerning your data and data derived therefrom). You acknowledge that SPACESSHARED may compile such anonymized/deidentified and aggregate data based on your use of the Website and associated services and, to the extent required you grant SPACESSHARED a non-exclusive, worldwide, perpetual, royalty-free right and license to use and distribute to third-parties such anonymized/deidentified and aggregated data to improve and enhance the Website and services and for other marketing, reporting, development, diagnostic and corrective purposes in connection with SPACESSHARED .

Privacy and Our Website

We gather certain information automatically when you visit the SPACESSHAREDE Website. This information includes interactions with the Website and the date and time for each interaction. We use information collected from you and your activities on the Website to administer and improve our services, to investigate issues, provide user support, and for billing purposes when applicable.
